We advise all students to attend one of our information events on the topic of "Internships abroad" in advance.

If you have any questions regarding the realisation of an Erasmus+ internship abroad, please contact the IO in good time, usually at least twelve months before the planned start of the internship.

Please note that the International Office does not offer personal initial counselling!

In order to provide you with the best possible, targeted and personalised information, we have developed a three-stage counselling concept counselling concept.

Contact the company/organisation abroad at least six months before the start of the planned internship.
Clarify the exact duration, the skills required for the internship and the contact details of the responsible supervisor/mentor at the company, as you will need this information for your scholarship application.

Once you have been accepted for an internship by your host company, you should contact the IO. Due to the limited number of scholarships, please inform yourself in good time about the available financial support within the framework of Erasmus+. The International Office requires a lead time of at least 4-6 weeks to process your application.

Discuss the recognition of the internship via ECTS credits and entry in the "Diploma Supplement" with your faculty at an early stage.
You should contact the relevant chairperson of the Examination Board.

You will receive the Grant Agreement (the scholarship confirmation) as soon as you have submitted all the documents required for registration and have also submitted the Learning Agreement for Traineeships.

How do I receive Erasmus+ funding?

Once you have been accepted for an internship by your host company, you should contact the IO. Due to the limited number of scholarships, please inform yourself in good time about the available financial support within the framework of Erasmus+.

Please submit the following documents to the International Office by email to teamoutgoing@uni-wuppertal.de:

  • Erasmus+ application form
  • Current certificate of study
  • transcript of records
  • Confirmation of acceptance from the host institution(Important: The confirmation of acceptance from the host institution must state the start and end date of the internship (DD.MM.YYYY - DD.MM.YYYY).
  • Letter of motivation for your planned internship abroad addressed to Ms Oelsner (in German or English, approx. 1 page, do not forget to sign!)

Please submit the fully completed Learning Agreement for Traineeships, signed by all parties, to the International Office at least 4 weeks before the start of your internship abroad.

You can apply for changes to the originally agreed internship programme at any time. For detailed information on how to make changes, shorten or extend your internship programme, please contact the International Office.

Online Language Support (OLS) is part of the Erasmus programme. The aim is to support you in learning and improving your foreign language skills. It is divided into two components: a compulsory language test before the start of the Erasmus mobility programme and optional language courses.

Detailed information on the test and language course programme can be found on the OLS information sheet. Please note: If you are interested in an additional language course in the national language - if this is different from the language of instruction - you must tick this box in the OLS database before activating a language course in the language of instruction!

You will receive the contractual basis for receiving the Erasmus grant, the Grant Agreement, approximately one month before the start of your internship abroad. It must be printed out, signed and submitted in duplicate as an original document to the International Office for countersignature in good time before the start of your internship.

If you do not submit the required documents by the specified deadlines or do not provide a plausible explanation, you will be excluded from receiving funding and will have to repay the entire mobility grant already paid.

According to the Erasmus regulations, only students who have submitted all the required documents may receive funding.

During the stay

Extension

An extension of your internship abroad is generally possible as long as the maximum funding period is not exceeded and sufficient funds are still available. Please contact the International Office for further information.

Shortening/cancellation

Please contact us before cancelling or shortening your internship.

If you wish to end your internship prematurely, please submit the addendum to the Learning Agreement (= Learning Agreement "During") signed by you and your internship provider with the shortened duration. We will then calculate the new funding amount and may ask you to repay the excess funding after your return.

If you have not completed the minimum duration of 60 days due to personal or family reasons, you must repay the entire scholarship received up to that point. This is not the case if you have to leave the country due to a medically confirmed illness, force majeure or an urgent recommendation from the Federal Foreign Office.

How do I receive the 2nd instalment of Erasmus+ funding? - Documents and procedure

Have the document signed and stamped by the host university on the last day (not earlier; however, it is not a problem to have it issued retrospectively) and send it bundled with the Learning Agreement After (or a qualified internship certificate) and study certificates to teamoutgoing[at]uni-wuppertal.de

Submission of the Traineeship Certificate* (Section to be completed AFTER THE MOBILITY) and the Certificate of Attendance* to the International Centre
The Traineeship Certificate can be replaced by a qualified employer's reference, provided this contains all the required elements of the Traineeship Certificate.

Please note that the document must be completed and signed exclusively by the traineeship provider. Only documents in which the exact internship period (day/month/year) is listed will be accepted.

If you use the Learning Agreement "After", please make sure that you do not evaluate your traineeship in the"Evaluation of the Trainee" field, but that this section is also to be completed exclusively by the traineeship provider!

During this period, also complete the EU Survey, for which you will receive a request by e-mail.

You will receive an automatic request by e-mail after the end date indicated in the Grant Agreement. The sender of the request to complete the survey is: replies-will-be-discarded@ec.europa.eu.

If you do not submit the required documents on time or do not provide a plausible justification, you will be excluded from Erasmus+ funding and you will have to repay the mobility grant that has already been paid.

According to the Erasmus regulations, only students who have submitted all mandatory documents may receive funding.
