Information for partnership coordinators

The Europe-wide exchange of students, lecturers and staff within the framework of Key Action 1 of the EU education programme Erasmus+ is an important instrument for the internationalisation of studies and teaching. Advice on and organisation of student mobility is provided at central level by the central Erasmus+ coordination in the INTERNATIONAL CENTER - International Office department and at subject level by the Erasmus+ partnership coordinators.

The download centre in this section contains overviews/guidelines specifically for partnership coordinators or prospective partnership coordinators, which are intended to improve coordination between the faculties and the International Office.

An Inter-Institutional Agreement (IIA) must be concluded between the sending and receiving universities for the duration of the contract in order for student and staff mobility to take place between two or more universities as part of the Erasmus+ programme.

For the new Erasmus+ programme generation , all contracts will only be signed digitally via EWP.

As a service organisation, the International Office is happy to support you with the administrative processing of Erasmus+ contracts. We have therefore established a corresponding procedure at BUW:

First of all, it must be clarified at subject level whether the courses offered at both universities are compatible and whether study achievements abroad can be recognised. In addition, further framework conditions must be clarified, such as

  • Which language(s) of instruction exist at the partner university
  • What language skills are expected of the students (do you also offer courses in English?)
  • For how many students should the exchange be closed (how do you estimate the interest of your students?), etc.

Once all the important details have been clarified, please let me know, fill out the questionnaire and submit it to the IO via the Dean's Office. The questionnaire asks, among other things, about the responsibilities in the BUW subject and the criteria you have chosen for the selection of students.

Please note that the coordinators must publish the application/selection/recognition criteria on the faculty's website.

Based on the information from the questionnaire, I will then prepare the IIA and get in touch with the International Office at the PU.

Please indicate the intended contract duration and the desired number of study places and lecturer mobilities ; if necessary, regulations or wishes of the partner universities must be taken into account here - these will then be coordinated directly via the International Office as part of the further process.

In the new programme generation, the focus is on the so-called "blended" format. Please tick in the questionnaire whether the option of "blended learning" should be included in the contract, i.e. individual courses will also be offered in digital form if required.

In order to make the international activities of the individual subjects/courses more visible and to bundle them if necessary, I would ask you to forward the questionnaire to me via the Dean's Office of your faculty.

Please send Mrs Stellmann the completed, signed and stamped questionnaire (by scan or internal mail) so that the contract can be concluded promptly.

When allocating Erasmus+ study places, please remember to point out to the students that the study place at the partner university can only be definitively confirmed once the contract has been successfully extended!
