Information for PROMOS scholarship holders

As soon as you have been selected for a scholarship, you will receive a scholarship agreement including a security briefing from the International Office.

Here you can tell us the exact period of your mobility, as this is often not yet known at the beginning of the application.

You must submit the original signed scholarship agreement and the safety instructions to the International Office (it is also possible to send them by post).

Please note that your agreed funding period does not necessarily have to coincide with your period of stay.
Period of stay = the time you spend abroad.
Funding period = the time that is eligible or funded by the PROMOS scholarship

With the PROMOS scholarship, you can have your time at the (partner) university or internship funded. This means that stays before or after this that do not take place at the institution abroad are not funded.

Make sure that you have the (partner) university or internship centre confirm the exact period via the Letter of Confirmation (LoC, see below). If the two periods do not match, the scholarship amount may change and you may be required to repay it (see below).

The scholarship will be paid to you in full before or at the start of your stay. The scholarship is calculated on the basis of the agreed funding period.

The travel allowance is paid once per stay and remains unchanged even if the funding period changes.

The partial scholarship instalment is calculated monthly. Half months are used as the basis for calculation. Half a month applies from day 1-15, a full month applies from day 16-30. One month corresponds to 30 days.

The LoC is signed by the (partner) university or internship centre at the end of your funding period. The document must not be pre-dated, but must be issued on the last day or after the funding period.

If the LoC shows that your agreed funding period has been shortened, the scholarship amount already paid out may be reclaimed. This reclaim only relates to the partial scholarship instalment.

Example: You have agreed a funding period of 5 months because your stay lasts 4 months and 19 days. You have been paid the corresponding scholarship amount. The LoC at the end of your stay now shows that you were only on site for 4 months and 10 days. The funding period will now change to 4,5 months and you will have to repay half a partial scholarship instalment.

If your funding period has been reduced, you will receive a notice of repayment from the International Office.

Therefore, please pay attention to the funding periods and discuss with your local contact person how long you are likely to spend at the respective institutions.

You must submit the following documents after your stay:

• Letter of Confirmation (LoC)
• Transcript of Records (ToR)
• Study certificates from the BUW for the entire funding period
